Overseas Village Homeowners Association, Inc.

Regular Meeting, May 23, 2005

MINUTES

President Derrick Johnson called the meeting to order at 6:05pm . 9 members were present, a quorum was declared.

New member Jennifer Mixon-Eick (#4a) was introduced and welcomed.

Issues Discussed/Outcomes:

Rocks (outside exterior fence) - Discussed potential liability, determined not on our property and leave them alone.
Hot Tubs – Association rules do not address, no action required.
Exterior Antennas – Association rules prohibit – member with antenna present and as unit disconnected, agreed to remove.
Common Area Lights – Agreed to set timer, on at dusk and off at 10:30-11 pm . Note: Timer was set 5/24/05
Light pole requires cover secured (R. Casey to repair)
Light pole requires possible repair/painting (R. Casey to address)
Clothes Lines – Association rules prohibit, no action required
Parking (Big Discussion) – Agreed that parking shall remain first come/first serve with NO parking directly in front of units (along white fences) as interferes with dedicated parking areas. NO parking on Charnie Lane. Agreed will consider allowing parking in the Charnie Lane turnarounds in future, should space be necessary.
Storage shed (for lawnmower, trimmer, gas, misc.) – Agreed to size and price shed for possible locations inside wastewater fence area or on mulch area near unit 10. Johnson & Casey to report back.

Issues Pending with Singh Co.

Installation of water heaters
Providing additional fencing (4^th side) at wastewater system
Installation of mailbox for Unit 5 (Coval)
Water piping to new units.

Financial

Rick Casey (MKCLT) provided members with income/expense report and deposit/check record. A summary report is provided:

Owe $1,100 on property insurance and $2,450 to FKAA for additional deposit and do not have sufficient funds to cover. Plan is to purchase the insurance coverage before 5/31/05 expiration of the current Singh Co. policy and request they maintain the FKAA account (we pay the monthly bills) until such time as we can cover the $2,450 deposit.

One resident owes the April assessment ($139.50) and one resident owes the HOA assessment ($94.50). May assessments now due. First State Bank has agreed to prepare payment coupon books and will be distributed when received.

Board voted to adopt a policy for late payments of assessments. Payments not received in the month which they are due will be assessed a $25.00 late fee. Action (legal) to collect past due assessments will begin when a member is 90 days past due. First action at 90 days is to send a demand letter and provide 10 days to pay.

Announcements:

Until we get a shed for lawn equipment, the lawnmower is located at Unit #9 (John) and weed eater and blower at Unit #7 (Derrick). Please feel free to use them for individual lawns.

Keys to front gate have been distributed to all. If you still need key, see Derrick Johnson (#7).
It was agreed that we would wait a few more weeks for the trees to shed their leaves and have them picked up all on one day. We will provide 2 weeks advance notice of the pickup day so all residents can arrange for the leaves on individual lots to be cleared and available for pickup on the same day.

NEXT MEETING – The next regular meeting of the Overseas Village Homeowners Association will be Monday, July 25, 2005 at 6pm. Location will be meeting room at Banana Bay Resort. Thank you to Derrick Johnson for use of the facility.
